Trusted Fleet Advisors ("we," "us," or "our") respects your privacy and is committed to protecting the personal data of our users ("you," "Buyers," or "Inspectors"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application and platform services.
1. Information We Collect
To provide vehicle inspection coordination services, we collect information that identifies, relates to, or could reasonably be linked to you.
Account and Profile Data: Name, email address, phone number, and account password. For Inspectors, this may also include professional certifications, business names, and identification verification documents.
Location Data: We collect precise or approximate geolocation data from your mobile device when the app is running in the foreground or background. This is necessary to pair Buyers with local Inspectors and to confirm an Inspector's arrival at an inspection site.
Payment and Financial Data: Payment processing is handled securely via our third-party payment processor. We collect billing addresses and transaction details, but we do not directly store raw credit/debit card numbers on our servers.
Vehicle and Inspection Data: Vehicle Identification Numbers (VINs), photos, descriptions, locations of vehicles, and the finalized inspection reports.
Device and Usage Data: IP addresses, device types, operating systems, app crash logs, and interaction data within the app.
2. How We Use Your Information
We use the collected data for the following operational purposes:
- To facilitate, schedule, and execute vehicle inspections.
- To process payment transactions and manage authorization holds/cancellation fees.
- To verify the identity and qualifications of platform Inspectors.
- To send automated updates, alerts, and customer service notifications via live agents, automated text messaging, and artificial intelligence technology.
- To detect, prevent, and address technical issues, fraud, or misuse of the platform.
3. How We Share Your Information (Affiliates & Partners)
We share your information in the following necessary operational and commercial contexts:
Between Buyers and Inspectors: We share relevant contact information, vehicle details, and inspection locations between the matched Buyer and Inspector to allow the service to be performed.
With Affiliates and Corporate Partners: We may share your personal data, vehicle inquiry histories, and contact information with our corporate affiliates, parent companies, subsidiaries, and trusted joint-venture partners ("Partners"). These Partners may use this information to provide you with complementary automotive services, fleet management solutions, or promotional offers that align with your transactional intent.
With Service Providers: We share data with third-party vendors who perform technical workflows on our behalf, including payment processors, map/routing APIs, data analytics providers, and automated communications infrastructure.
For Legal Compliance: We may disclose your information if required to do so by law, subpoena, or if we believe such action is necessary to comply with Wyoming state law, protect user safety, or defend our legal rights in an arbitration setting.
4. TCPA Compliance: Automated & AI-Generated Communications
By providing your phone number and checking the affirmative consent box inside the Trusted Fleet Advisors platform, you provide your express written signature and consent to the following terms regarding the Telephone Consumer Protection Act (TCPA):
AI and Automated Communications: You grant Trusted Fleet Advisors, its affiliates, and its designated Partners explicit permission to deliver informational, operational, and promotional communications to the wireless phone number you provide. This includes communications generated or assisted by Artificial Intelligence (AI) voice-cloning agents, synthetic speech technology, prerecorded or artificial voices, automated telephone dialing systems (ATDS), and automated text messages (SMS/MMS).
Nature of Messages: Communications may include, but are not limited to, scheduling confirmations, inspection updates, cancellation fee notifications, application support, and marketing offers logically or topically related to your automotive or fleet requirements.
No Purchase Condition: You acknowledge that giving this consent is entirely voluntary and is not a condition of purchasing any goods, property, or services from Trusted Fleet Advisors or its Partners. Standard message and data rates may apply.
Revocation and Opt-Out: You may revoke your consent to receive these automated text messages or AI voice calls at any time. To opt out of text messages, reply STOP, END, CANCEL, QUIT, or UNSUBSCRIBE to any message received. To opt out during an AI-generated voice call, you may state "stop calling me," request to be placed on our internal Do-Not-Call list, or use the interactive voice/key-press automated opt-out mechanism provided at the beginning of the call. We process opt-out requests immediately across all unified communication channels.
5. Data Security and Retention
Security Measures: We implement industry-standard administrative, technical, and physical security measures designed to protect your personal data from unauthorized access, loss, or disclosure.
Retention: We retain your personal data for as long as your account is active or as needed to provide you with services, resolve disputes, and comply with legal and financial auditing obligations.
6. Your Rights and Choices
Location Services: You can opt out of precise geolocation tracking at any time by adjusting your mobile device's privacy settings. However, disabling location services may severely limit app functionality.
Account Deletion: You may request the deletion of your account and associated personal data through the app settings or by contacting us at the email below. Some data may be retained for transaction compliance and historical financial records.
7. Children's Privacy
Our platform is intended for use exclusively by individuals aged 18 or older. We do not knowingly collect personal data from children under the age of 13. If we discover we have inadvertently collected such data, we will delete it immediately.
8. Governing Law and Policy Updates
This Privacy Policy is governed by the laws of the State of Wyoming. We reserve the right to update this policy at any time. If we make material changes, we will notify you through an in-app alert or via your registered email address.
